INFORMATION
Privacy Policy
How we collect, use and protect your personal information. This policy covers our website; for information about your file if you're a client, please speak to your fee earner.
Who we are
Nelson Myatt Solicitors is the trading name of Nelson Myatt Solicitors (Wales) Limited, registered in England and Wales with company number 14562812, with its registered office at Suite 6, Conwy Business Centre, Junction Way, Llandudno Junction, Conwy LL31 9XX. We are the data controller for the personal information described in this policy.
What information we collect
We collect information in a few different ways:
- Enquiries you make — by phone, email, or through a mailto link on this site, we'll have whatever contact details and information you choose to give us.
- Fee calculators — our online quotation tools ask for details like your name and contact information so we can prepare a quote. This information is processed in your own browser to calculate the quote; the calculator does not transmit or store it on our servers. If you choose to email your quote to us, that happens through your own email application in the normal way.
- Appointment bookings — if you book an appointment through our Microsoft Bookings page, we collect your name and contact details, the time you choose, and your answers to the questions on the booking form. These may include details of your legal matter and of other people involved in it. Microsoft Bookings is part of Microsoft 365, which we use as our service provider, so Microsoft handles this information on our behalf and under its own privacy terms.
- Telephone calls — all calls to and from our office are recorded. If you phone us, or we phone you, we keep the recording together with the telephone number and the date, time and length of the call. We play a message at the start of calls to let you know they are recorded.
- Cookies and similar technologies — see our Cookie Policy for full details.
- Website analytics — we use Cloudflare Web Analytics to understand how many people visit this site and which pages they look at. It doesn't use cookies, doesn't track you individually, and doesn't collect any personal information — just aggregate figures like page views.
- If you become a client — we'll collect further information necessary to act for you, as set out in our client care letter and terms of business at the start of your matter.
How we use your information
We use personal information to:
- respond to your enquiries and provide quotes;
- arrange and manage appointments you book with us, including confirmations and reminders;
- carry out a conflict-of-interest check on the details you give us when you make an enquiry or booking, to make sure we are able to act for you, as our professional rules require;
- provide legal services if you instruct us, and meet our professional and regulatory obligations (including anti-money laundering checks required of all solicitors);
- manage our relationship with you, including billing and account management through Law Connect, our secure client portal;
- keep an accurate record of instructions and advice given by telephone, train our staff and check the quality of our service;
- help prevent and detect fraud, and deal with complaints, claims or regulatory enquiries;
- improve this website and understand how it's used.
Our legal basis for processing
Depending on the situation, we rely on: performance of a contract (where you've instructed us), compliance with a legal obligation (such as anti-money laundering rules), our legitimate interests in running and improving the practice (which include keeping call recordings as an accurate record, for training and quality checking, to prevent fraud and to deal with complaints and disputes), or your consent (for example, for non-essential cookies). For appointment bookings, we rely on taking steps at your request before a contract is made (arranging the appointment you have asked for), and on our legitimate interests in carrying out the conflict-of-interest checks our regulator requires.
Who we share it with
We don't sell personal information. We may share it with:
- Law Connect, our secure client portal provider, to manage your file and documents;
- Microsoft, which provides Microsoft 365 and Microsoft Bookings and handles booking information on our behalf as our service provider;
- our telephone service provider, which records and stores calls on our behalf;
- third parties we're required to share information with by law or regulation, such as the Solicitors Regulation Authority or HMRC;
- other professionals involved in your matter where necessary, such as counsel, surveyors, or the other side's solicitors.
How long we keep it
Client file information is kept for the period required by our professional regulations — typically at least six years after a matter concludes, longer for some matters such as wills and trusts. Details from appointment bookings and website enquiries that don't lead to instructions are kept only as long as needed to deal with your enquiry and to keep a record of the conflict-of-interest check we carried out. Call recordings are kept only for as long as we need them for the purposes described above, and are then deleted. If a recording forms part of the record of your matter, it may be kept with your file for the file retention period.
Your rights
Under UK GDPR, you have the right to ask us for access to, correction of, or erasure of your personal data, and to object to or restrict certain processing. To exercise any of these, contact us using the details below. If you're unhappy with how we've handled your data, you can also complain to the Information Commissioner's Office (ICO).
